In campaigns, you can apply various filters to locate specific leads, review their connection status, see whether they replied to your campaign message, check if their LinkedIn profile is open, verify whether an email is available, and more.

You can also add leads directly by importing their LinkedIn profile URL or uploading a CSV file.

Additionally, you can take different actions on your leads, such as pausing or resuming them in the campaign, exporting them, transferring them to another campaign, managing tags (adding, editing, or removing), deleting leads, and more.

Campaign filters

The filters above can be found by going to the campaign on Expandi and clicking on the People's section. The filters available are:

Type to search

You can look up leads within the campaign by typing their name, job title, or company. Once you've typed at least 3 characters, you will see up to 10 matching suggestions below the search bar, with the matching part of the text highlighted so it's easy to spot the right person.

If there are more than 10 matching results, you will see a button to 'See all results'. Click it and the new search will display in the Inbox.

It also works together with any filters you've already applied, so it only looks within your current results.

Click a suggestion to show only that conversation in the list. You can also keep typing to narrow the results further.

Interaction

You can also filter the leads in a campaign on the status of the conversation, such as:

  • Email required to connect on LinkedIn; some LinkedIn users require an email address in order to receive a connection request. When this setting is enabled on their profile, Expandi can only send the request if that lead’s email is available in the Placeholders section. If the email is missing, the connection attempt will fail, and the lead will show the 'email required to connect' status in the campaign.

    If you still want to connect with that lead, simply add their LinkedIn email address to the email field in the Placeholders section. After updating it, resume the failed lead in the campaign - the task will be rescheduled, and the connection request will be sent successfully.

  • No Interaction from a campaign status means that neither you nor the lead has exchanged any messages, and the lead hasn’t been contacted within the current campaign. No Interaction is a campaign-specific status. Even if you previously interacted with a lead in another campaign, once that lead is added to a new campaign, they will start with the 'no interaction' status. This is because neither you nor the lead has engaged in that particular campaign yet.

  • Awaiting lead reply means you’ve already sent a message to the lead and are waiting for their response. This includes messages sent through Expandi or directly via LinkedIn.
    This status also applies if the lead was resumed in the campaign and a message is scheduled to be sent or resent (for example, if a previous attempt failed).

  • Lead replied means the lead sent the most recent message and is waiting for your response. This includes any incoming messages from the lead, even if they haven’t been opened yet. Once you send a new message, or if the lead is resumed in the campaign, the status changes to Awaiting lead reply.

Remember that conversation statuses apply to each campaign individually. So, when you transfer or add leads from one campaign to another, their status in the new campaign will reset to 'No interaction', regardless of what their status was in the previous campaign.

Status

Status means the kind of connection/relationship you have with a person. They can be:

  • Contact - 1st-degree connection

  • Searched - 2nd, 3rd+ degree connection

  • New contact you recently became a first-degree connection with the lead, not longer than 7 days ago

  • Imported - the lead was imported via the API, profile link, or a CSV file

  • Connect Requested - the lead currently has a pending connection request. It was sent from a campaign or manually on LinkedIn

  • Revoked - connection request was ignored or withdrawn by you or the system. Such leads can only receive another connection request 3 weeks later from the day they refused to connect, and only from a different campaign than before

  • Disconnected - you or the lead disconnected from each other. If a lead disconnects from you while they are in a campaign where they originally received a connection request, they can only receive a new connection request by being added to a different campaign than the one used previously

    Once you select one of these options (or multiple ones), the leads with selected statuses will appear in the campaign people list.

Messages

This filter is used to see/find your read and unread messages in the campaign. If you click on:

  • Read and unread messages - you will see all conversations

  • Read messages - you will see only read conversations

  • Unread messages only - you will see only the conversations you have not read yet

Tags

With this option, you can filter leads by tags, choosing either With or Without specific tags. When you select a tag, Expandi will display all leads associated with that tag. This filter only appears if your account already has tags created.

Tags aren’t just useful for filtering - they also help you keep your lead lists organized. By tagging the appropriate leads, you can quickly identify different segments and maintain your campaigns more efficiently.

Lead list

This option lets you identify which lead list in your Expandi account a contact was added from. To view leads from a specific list, click on the filter, choose the desired lead list, and the corresponding leads will be displayed.

Campaign status

The campaigns have 4 statuses:

  • Paused - the campaign has been paused for this lead. This may happen if the lead replied to a campaign message, a message couldn't be sent for various reasons, the lead exists in multiple campaigns, or you manually paused them yourself

  • Continued - the campaign was previously paused for this lead and has now been resumed

  • Running - the campaign is currently active for this lead, and there are steps left to be processed

  • On Hold - this status lets you filter leads who are currently paused due to repeated sending failures. A lead is placed on hold when a message or connection request fails to send two or more times. This often happens when LinkedIn is running a split test that interrupts performance. If you notice leads who are 'on hold,' please reach out to our customer support team so this can be checked by our tech support team

Email availability

This filter helps you identify which leads in the campaign have LinkedIn email addresses available - either retrieved or imported - and which do not. It’s especially useful when running an email outreach flow in a Builder campaign.

Processing status

This filter allows you to see whether a lead has progressed through any campaign steps - whether they received the action, reached the final step (received all actions), or failed and were paused or put on hold in the sequence.

3 filter options are available:

  • Processed - leads shown under this filter are those who have completed the campaign. They have received all campaign steps, and every action box is filled, indicating that the entire sequence was successfully executed for them.

  • Still running - this filter shows leads who are still active in the campaign, either because they have upcoming scheduled tasks or because they were recently added and have not yet completed the sequence (received all campaign steps).

    If the campaign is deactivated and activated again after some time:

    • People who received no action from the campaign before it was deactivated will have the status 'Still running';

    • People who already had the status 'Still running' before the deactivation of the campaign will have the same 'Still running' status once the campaign is activated again;

    • People who had the status 'Processed' before deactivating the campaign, if there were no new steps (actions) added to the campaign, they will keep the same status 'Processed'. However, if more steps were added to the campaign before activating it, the status from 'Processed' will change to 'Still running'.

  • Other - this filter displays leads that encountered errors or failed tasks within the campaign. Since no additional tasks are scheduled for them, they become stuck in the campaign flow. These leads often also appear under the 'On hold' or 'Paused' filters. If you see leads in this state, reach out to the customer support team to investigate the issue. Once resolved, the leads should be resumed in the campaign.

    Note that even after resuming, their status will remain 'Other' and will not switch to 'Still running.' It will only switch to 'Still running' if the campaign action is successfully sent/processed to them after the lead was resumed.

Archived

Using this filter, you can choose if you wish only archived (snoozed, scheduled for later) messages to be displayed in your inbox or the ones that are not archived

Open InMail availability

This filter lets you check whether a lead’s LinkedIn profile is open or not. You can choose from three options: Available (the profile is open), Unavailable (the profile is closed), or Unidentified (the system cannot determine the profile’s status). This helps you organize leads more effectively and assign them to suitable campaigns -especially those that require open profiles, such as an Open InMail campaign or an Open InMail step within a Builder or Inbound campaign.

Leads marked as 'Unidentified' can be added to a Builder campaign that includes a 'Visit profile' action. This allows the system to visit their LinkedIn profile, determine whether their account is open, and update their status accordingly. After the visit, they will be categorized under the 'Open InMail availability' filter as either 'Available' or 'Unavailable'.

Leads identified as 'Available' can then be added to an Open InMail campaign, or you can build an Open InMail sequence within a Builder campaign. An example of such a flow can be found here.

Interest rating

This filter lets you sort leads based on the interest level assigned to them - either automatically by the system - through the campaign’s Sentiment Analysis feature - note that the automatic way is only available if Sentiment Analysis is enabled for the campaign. If Sentiment analysis is not enabled for the campaign, you can still change the rating manually.

By using this filter, you can view leads whose responses were classified as Interested, Maybe, or Not interested.

You can also quickly sort leads based on their level of interest - whether they’re engaged and interested, somewhat interested, or not interested at all. This makes it easier to manage leads within your campaigns and strengthen your outreach efforts. You can learn more about the Sentiment Analysis feature and how it works here.

Steps

The usage of the filter in a non-builder campaign

In non-builder campaigns (such as Connector, Messenger, etc.), the 'Steps' filter allows you to view leads based on a specific step in the sequence. By selecting a step within this filter, you can see which leads have received that particular action, as shown below

The usage of the filter in a Builder/Inbound campaign

This filter is applied automatically when you view which leads are on a specific step in the Per Step Stats tab. It cannot be manually adjusted or selected.

This filter is only applied in Builder or Inbound campaigns. When you’re in the 'Per Step Stats' tab, clicking on the number of leads who received, replied to, or are currently on a specific step - and then selecting 'Filter in People tab' - will activate it. CRM

This filter is only visible and available if HubSpot, Pipedrive, or Salesforce integration is set up on Expandi. It allows you to filter on people who were synced to HubSpot, Pipedrive, or Salesforce, or not synced, or see all people (regardless of whether they were sent to HubSpot, Pipedrive, Salesforce, or not).

Below you can see the available filter options and what each of them means:

  • Show all contacts - this option will display all leads (regardless of whether they were sent to HubSpot, Pipedrive, Salesforce, or not).

  • Exported to CRM - this option will display leads who were sent to HubSpot, Pipedrive, or Salesforce already. All leads that are synced to HubSpot, Pipedrive, or Salesforce will have the HubSpot, Pipedrive, or Salesforce icon displayed next to them.

  • Not exported to CRM - this option will show leads who were not sent to HubSpot, Pipedrive, or Salesforce.

Campaign actions

There are many different actions in the campaign, such as:

The actions visible on the main screen depend on your browser’s zoom level, so your view may differ from the screenshots provided. If some actions aren’t visible on your screen, you can access them by opening the 'More' menu

Run/Pause

This action can be used to resume or pause leads in the campaign. Please learn more about it and how it works here.

Export

Export action allows you to export people from the campaign to a CSV file.

To export people from the campaign, click on the Export button

Available export options are:

  • Mail selected contacts as CSV - this can be used for exporting selected people from the list

  • Mail all filtered contacts as CSV - this option could be used if you applied some filters on the My Network page and would like to export only people who appear with the selected filters

  • Mail all contacts as CSV - this will export your whole network (all people from the My Network page)

  • Export selected through webhook - this allows you to export selected people from the list through one of your webhooks created on Expandi

  • Export filtered contacts through webhook - this option could be used if you applied some filters on the 'My Contacts' page and would like to export people who appear with the selected filters through one of your webhooks created on Expandi

Add by profile link

If you wish to add a certain person via the LinkedIn profile link to the campaign, you can do that by clicking on the 'Add by profile link' button. This button might also be found under the 'More' menu (depending on your screen display size).

Once you click on it, you'll have to paste the LinkedIn profile link into the field and click on the 'Add' button so that the person will be added to the campaign

Import CSV

Choosing this option allows you to import your CSV file directly into the campaign. The 'Import CSV' button might also be found under the 'More' menu (depending on your screen display size).

If your CSV file isn’t processing correctly, please follow the troubleshooting steps provided here.

To add your CSV file to the campaign, please click on the Import CSV button

Send to HubSpot

If you have integrated HubSpot for your company on Expandi, you can manually send selected leads' information/data from Expandi to HubSpot. This can be done by selecting the leads you wish to send to HubSpot, clicking on the 'More' button, and selecting the option 'Send to HubSpot'

Send to Pipedrive

If you have integrated Pipedrive for your company on Expandi, you can manually send selected leads' information/data from Expandi to Pipedrive. This can be done by selecting the leads you wish to send to Pipedrive, clicking on the 'More' button, and selecting the option 'Send to Pipedrive':

Send to Salesforce

If you have integrated Salesforce for your company on Expandi, you can manually send selected lead's information/data from Expandi to Salesforce. This can be done by selecting the lead (one lead at a time) you wish to send to Salesforce, clicking on the 'More' button, and selecting the option 'Send to Salesforce':

Unread selected

If you wish to unread some messages in the campaign, so you can check on them again later. You would need to select the leads you'd like to do this action for and click on the 'More' button. Then select the 'unread selected' option

Transfer selected/Transfer filtered

The transfer selected option allows you to transfer selected people in the campaign to another campaign. The 'transfer filtered' is used for transferring the leads that appear with selected filters in the campaign. Please learn more about both options and how they work here.

You can find this action by clicking on the 'More' button and selecting the 'Transfer selected' or 'Transfer filtered' option

Create a tag

To create a new tag in the campaign's 'People' page, click on the 'Tag' button and on the 'Create tag' option

Write a name for your tag, choose the color for it, and click on the 'Confirm' button to save

A new tag is created now!

Manage tags

If you wish to edit the created tag(s), you can do that by clicking on the 'Tag' button and selecting the 'Manage tags' option

In the 'Manage tags' pop-up, you can edit existing tags (change their names or color) or delete them.

To edit the tag, click on the pencil icon next to it

Change the name or the color of the tag, then click on the 'Confirm' button, so the changes are saved!

To delete the tag, click on the trash can icon next to the tag

Once it's done, the tag will be deleted and removed from the leads that had it applied.

Apply a tag to the selected leads

To apply a tag for selected people in the campaign, you need to:

  1. Go to your campaign's 'People' tab and select the leads you wish to apply the tag to, then click on the 'Tag' button

  2. Hover over the tag name that you wish to apply and click on the green button to select it (the red button should only be used if you wish to remove that tag from the lead(s))

  3. Now, click on the 'Tag leads' button to apply the tag to selected leads

The tag is applied to the selected leads now!

The tag can also be applied by clicking on the + button below the name of the lead. You simply need to click on the +, select the tag, and click on the 'Apply tags' button

Once it's done, the tag will be applied:

Apply a tag to filtered leads

With this option, your selected tag will be applied to all leads that appear with applied filters in the campaign.

  1. Apply the filters in the campaign to find leads you wish to add the tag(s) to in bulk, and click on the 'Tag' button

    Make sure that the leads who appear in the list are the ones you wish to apply the tag to.

  2. Hover over the tag you wish to use and click on the green button next to it to select it (a red button should only be used if you wish to remove the tag for the leads)

  3. Now, click on the 'Tag leads' button to apply the tag to the filtered people

The tag is applied now!

Apply a tag to all leads

If you wish to add a tag to all people in your campaign in bulk, please follow the steps below:

  1. Go to the campaign's 'People' tab and click on the 'Tag' button (no need to select/apply any filters)

  2. At the top of the pop-up window that appears, you'll see the number of people who would be tagged with this action. That number should match the total number of leads that are added to your campaign - this is if your goal is to tag all people in the campaign

  3. Hover over the tag you wish to use and click on the green button next to it to select

  4. Now, click on the 'Tag leads' button

Once it's done, the selected tag will be applied to all people in your campaign. If you have many leads added to your campaign, this might take a minute. A confirmation message that a tag was applied successfully will briefly appear on the top right side of the screen once the action is complete.

Remove a tag from a single lead

To remove a tag from a single lead, you can:

Click on the X button next to the tag you wish to be removed, and the tag will be removed.


Or select the lead, click on the 'Tag' button, then hover over the tag you wish to be removed and click on the red button next to it to select it. Once it's selected, click on the 'Untag leads' button, and the tag will be removed.

Remove a tag from selected people

To remove a tag from selected people:

  1. Go to the campaign's 'People' tab and select the leads you wish to remove the tag from, and click on the 'Tag' button

  2. Hover over the tag you wish to be removed and click on the red button next to it to select it

  3. Now, click on the 'Untag leads' button, and the tag will be removed from the selected leads

Now, the tag is removed!

Remove a tag from filtered people

This option lets you remove the tag for all people who appear with the applied filters.

To remove the tag from filtered leads:

  1. Apply the filter(s) to find the leads you wish to remove the tag from and click on the 'Tag' button

  2. Hover over the tag you wish to be removed from the leads, and click on the red button next to it to select

  3. Now, click on the 'Untag leads' button

The tag is removed now for the filtered leads:

Remove a tag from all people

To remove the tag for all people in your campaign:

  1. No need to apply any filters, only click on the 'Tag' button in the campaign's 'People' tab

  2. Hover over the tag you wish to remove from the leads and click on the red button next to it to select

  3. Then click on the 'Untag leads' button

Once it's done, the tag will be removed from all leads.

Delete Contacts

This button allows you to delete all, selected, or filtered contacts from the campaign. Please learn more about all these options and how they work here.

Change the lead's sentiment analysis rating

If you have set your campaign goal and turned on the sentiment analysis feature in the campaign settings tab, please learn more about how this can be done here.

AI will be rating people's replies in your campaign, if the lead is interested in the communication with you, maybe interested or not interested. The rating is applied automatically.

However, if you disagree with the rating, you can follow the steps here to change the rating for the lead and apply a different one from the ones that are available in the list.

Continue/resume lead from the selected step / skip the step (only for non-builder campaigns)

Using this action, you can skip the next campaign step for the lead and make the system schedule an action for the following step instead. Please see below where this is located in the campaign

For example, the campaign has 3 steps in total. The lead has already received the first step, and the second step is currently in process (scheduled). In such a case, if you do not want the second step to be processed, you can select the 3rd step for the lead instead and continue (resume) them from the 3rd step. To do that:

  1. Click on the 'Step'

  2. A pop-up window will appear that will show you all the campaign steps (Messenger message, Follow up message 1, Follow up message 2). Select the step you'd like the lead to receive next by clicking on it

  3. Once the step is selected, click on the 'Continue with the step' button so the system can start scheduling that action for the lead

Once it's done, the 3rd step, instead of the 2nd campaign step, will be scheduled and sent.

Schedule, snooze, archive message

In the lead's chat box, in the campaign, you can also, same as in the 'Inbox', schedule a manual message to be sent at a certain date/time, and snooze or archive the message. This gives you the possibility to plan your manual tasks in advance.

You can find the schedule or snooze options by clicking on the little arrow next to the send message icon

Reply through Sales Navigator or LinkedIn inbox

You can send a reply to the lead through Sales Navigator or the LinkedIn inbox. However, keep in mind, you can only send a message through Sales Navigator if you already have a conversation with the lead. You cannot start a new conversation with the lead by sending them a message from Expandi to the Sales Navigator inbox. For starting new conversations, please send messages through the LinkedIn inbox instead.

To send a message through a Sales Navigator or LinkedIn inbox, please follow the steps below:

  1. Click on the lead you'd like to send a message to and enter your message into the message field

  2. Above the entered message, select if the message will be sent via the LinkedIn inbox or the Sales Navigator inbox. If you wish to send a reply through Sales Navigator, select the option 'Sales Navigator inbox'; if you wish to send a message through LinkedIn inbox, click on the option 'LinkedIn inbox' instead.

  3. Confirm the selection of the Inbox by clicking on the 'Confirm' button

  4. Once it's done, you'll see that the option of how this message will be sent switched from the 'LinkedIn inbox' to 'Sales Navigator inbox.'

  5. Click on the 'Send' icon to add the message to the queue, so it can be processed and sent

You can only send messages through the Sales Navigator inbox if you have an active Sales Navigator subscription under the LinkedIn account.

How to check the lead's information in the campaign and perform certain actions for that lead?

If you go to the campaign's people tab, select the lead, and click on the 3 dots above the message field, you'll be able to check the information we have about the lead, check the campaign message preview (the steps for this are different for legacy and builder-type campaigns, please learn more here), pause/resume this lead, check in what campaigns they are currently added, open notes, or mute the chat.

Pause campaign - if a lead is currently active (running) in the campaign, you can pause them by clicking the 'Pause campaign' option. This stops any further campaign messages from being scheduled or sent to that lead.

If the lead is already paused, you’ll see 'Paused, click to continue' instead. Selecting this option will resume the lead in the campaign, allowing the remaining messages to be scheduled and sent.

Contact messages preview - this option lets you see how your campaign messages will appear once sent to a lead. It’s especially helpful when using dynamic placeholders, as the preview will only display correctly if those placeholders were added properly in your campaign message. Please learn more here.

Display information - if you click on this option, you'll be able to see all the information that was retrieved from LinkedIn available for this lead

Display campaigns - by selecting this option, you can check in what campaigns the lead is currently added, as well as pause/continue them in the campaign or transfer the lead to a new campaign

Display note mode - here you can open the notes window and leave some notes for yourself that are specific to this lead

Mute chat - by clicking on this option, there will be no sound whenever you send a reply to this lead on Expandi.
